Microsoft Planner has no native resource management or capacity view. There’s nothing like Microsoft Project’s Resource Usage screen that shows how loaded each person is across your plans — no capacity heat map, no cross-plan allocation. To read who has room and who’s buried, you either pay for a tier that still stops at one plan, build the report yourself by piping Planner data through Power Automate into Power BI, or use a cross-plan app. There’s no toggle for it, and the 2025-26 Planner refresh didn’t add one.
Does Microsoft Planner have a resource or capacity view?
Not the way Microsoft Project does. Project has a Resource Usage view built for exactly this — who’s assigned what, who’s over capacity, where the load piles up. Standard Planner has no equivalent. You can open one plan and group its tasks by assignee, but that’s a per-plan task list, not a capacity picture, and it stops at the plan boundary.
The closest Planner gets is a paid feature. Planner Premium adds a People view that lets you “display all tasks for a project in the web app sorted by resources,” per Holert’s breakdown of Planner Premium. That’s useful inside one plan. But Holert is blunt about the ceiling: “effective cross-project resource management is not possible.” So even the paid resource view can’t tell you whether a person is underwater across everything they touch — which is the entire point of a capacity view.
Why doesn’t Planner show capacity across plans?
Because Planner was built around the plan as the unit, and every view inherits that boundary. Capacity is a cross-plan question — it’s the sum of what a person carries everywhere — and Planner has no surface that adds it up. A developer assigned tasks in your roadmap plan, two client plans, and a bugfix plan appears in four separate places, and no native view rolls those four into one load number.
That’s the difference between a task list and a capacity view. Grouping by assignee inside a plan tells you who’s doing what here. Capacity planning needs who’s doing what everywhere, weighed against how much they can actually take on. Planner answers the first question and never the second.
It’s worth keeping two related questions apart, because they need different views. Workload is a right-now question — who is overloaded this week — and it’s the subject of the Planner workload view. Capacity and resource management is the planning question: given everything a person already carries across plans, who has room to take the next thing on. You can only answer the second if you can first see the total load in one place, which is exactly what Planner won’t roll up.
How do I build a resource capacity view for Planner?
Two native routes, both real work.
Route 1 — Power Automate into Power BI. Power BI can’t read Planner directly. As the Microsoft Fabric Community documents it, since Power BI lacks a direct Planner connector, you use a Power Automate flow to fetch the task data from Planner and save it (typically to SharePoint as JSON) so Power BI can pick it up on a schedule. Then you model the report — group by assignee, count or weight tasks, refresh it. This is the route most “Planner capacity dashboard” tutorials describe, and it works. What it isn’t is quick: you own the flow, the storage, the data model, and the refresh cadence, and it breaks quietly when Planner’s shape changes.
Route 2 — pay for Premium. A Project and Planner Plan 3 license per user unlocks the People view and Premium’s resource fields (Holert). You get a per-plan resource view without building anything — but it’s per plan, it’s per seat, and cross-project resource management still isn’t there.
Doesn’t Plan 5 or Microsoft Project do resource management?
This is what the “Microsoft Planner resource management” search is really reaching for, and the honest answer is: Microsoft’s resource management stack is real, but it lives in a different product than the Planner your team uses. Microsoft’s own Resource Management page pitches the full kit — “Resource Engagements to request and lock in resources” and “Capacity heat maps” to “quickly identify overused and underused resources” — and attributes every bit of it to Microsoft Project, not to Planner.
Here’s the catch teams hit when they try to upgrade their way out of this. Those enterprise resource features aren’t in the modern Project for the Web that Planner Premium runs on — they’re in the older Project Online application. Asked point-blank what the top Plan 5 license actually unlocks, Microsoft MVP Dale Howard is unambiguous on Microsoft Q&A: “The enterprise resource management functionality you are seeking with your Project Plan 5 license is only available in the Project Online application. It is not available in Project for the Web (aka Planner Premium),” and bluntly, “you will simply need to live with these limitations.”
So paying all the way up to Plan 5 doesn’t put a capacity heat map on your Planner plans. You’d be moving into Project Online — a separate, heavier PPM product with its own projects and its own resource pool — not getting resource management for the plans your team already works in. For a team that lives in Planner, that isn’t an upgrade, it’s a migration.
Doesn’t “Assigned to me” or Portfolios give me capacity?
Neither does. “Assigned to me” is cross-plan but scoped to you — Microsoft’s docs describe it as showing “tasks that are assigned to you as part of a shared plan” across all your plans (Microsoft Support). Great for your own day, useless for reading a team’s load, because there’s no “assigned to them” version. Portfolios go the other way: they roll up plan status and progress across many plans, not per-person load. You learn which plans are on track. You never learn which person is buried.

The only native path to a real cross-plan capacity view is the Power BI build, and that’s the one that’s a genuine project. Premium gets you a resource view that stops at one plan. Standard Planner gets you a task list.
